Put It In The IEP

Privacy Policy

Effective Date: September 20, 2026  |  Last Updated: September 20, 2026  |  Version: 2026.1

Our Commitment

Put It In The IEP helps families understand their child's IEP, 504 plan, and school letters. The documents you share describe your child's disability, learning needs, health, and school services. That information is deeply personal, and we handle it that way.

Put It In The IEP is a product of Nova Parent Collective LLC, and families in every state use it. This Privacy Policy describes our practices under U.S. privacy principles and the state privacy laws that apply to us. We do not currently meet the size thresholds that bring a company under California's consumer privacy law. Where our practices go beyond what the law requires, we say so.

Sensitive Personal Information (SPI), Default Classification

Sensitive Personal Information Protections

We treat everything you share with Put It In The IEP as sensitive personal information, including:

  • Any information about a minor's disability, developmental status, medical condition, or special education services
  • Information about a child's behavioral, cognitive, or physical needs
  • The contents of IEPs, 504 plans, school letters, and any other document you upload
  • Health, medical, or evaluation details that appear in a document you upload
  • Any details about your family that appear in a document or a follow-up question

We apply SPI-level protections to all user data regardless of whether it technically qualifies under the statutory definition. This means we apply the most restrictive handling rules to everything.

Information We Collect

1. Information You Provide

  • Your email address, if you sign up for updates. We save it with the date you signed up and how you found us (see How You Found Us below).
  • One document per analysis: an IEP, 504 plan, or school letter, as a PDF or photo.
  • Your choice of a free read or a field guide.
  • Follow-up questions you type after your analysis.

If you buy a field guide, Stripe, our payment processor, collects your card details on its own secure page. We receive a record of the payment and the last four digits of your card. We never see your full card number.

We do not ask for your name, your child's name, your address, or your income. Your document may include some of these details. We protect them as described in Documents You Upload.

2. Documents You Upload

Here is what happens to your document:

  1. It goes to private, access-controlled storage with our hosting provider, Vercel.
  2. Our system reads its text. If a PDF is a scan with no readable text, the AI reads the text from the page images instead. Photos are resized on our server.
  3. The document, or the text read from it, goes to Anthropic, the company that makes the AI we use, so the AI can analyze it.
  4. Our system automatically deletes the document from Vercel storage as soon as its text is read.
  5. Our system automatically deletes the document from Anthropic when your analysis finishes, whether it succeeds or fails.
  6. Your analysis appears in your browser. We keep no copy on our servers. When you close the page, it is gone.
  7. If you download the field guide, the PDF is created on your own device. We never receive a copy.

We do not keep your document, its contents, or your analysis. Our technical records note details such as the file type, and leave out your file name and what your document says.

We do not use your document to train AI. Anthropic, the provider that processes its contents, is set up so it does not use it to train AI either.

Your field guide PDF carries a code that lets us recognize it if you come back with another document. The code holds no information about you, your child, or your document. It tells us only that a purchase was made.

3. Information Collected Automatically

  • Page visits. We use Vercel Web Analytics to count page views and email sign-ups. Our site does not set cookies.
  • Abuse prevention. To stop misuse, our system turns your IP address into a scrambled code and uses that code to limit how many documents can be sent in a short time. Your actual IP address is never stored. The scrambled code is deleted within about a day.
  • Technical logs. Our hosting provider keeps standard technical logs. We set up our logs to leave out file names, document contents, and IP addresses.

We do not collect your location.

How You Found Us

If you arrive from a link with campaign details, such as an ad or a newsletter, or from another website, our page notes that source. If you sign up for updates, we save the source with your email address. This shows us which outreach reaches families. We do not use advertising cookies, and we do not share this information with advertisers.

We count purchases in total to see which outreach reaches families. We do not share purchase information with advertisers.

What We Do Not Collect

  • Social Security Numbers or government ID numbers
  • Full clinical medical records
  • Your full card number, which stays with Stripe
  • Biometric data
  • Precise geolocation

We do not ask for medical records. If a document you upload includes medical details, we protect them the same way as the rest of your document.

How We Use Your Information

2. Service Delivery

  • Analyze the document you upload and show you a free read or a field guide
  • Answer your follow-up questions about that analysis
  • Send the email updates you signed up for
  • Respond to your questions and support requests
  • Prevent abuse and keep the service running
  • Understand, in aggregate, how families find and use the service

What We Do Not Do

  • We do not sell your personal information, and we do not share it for cross-context behavioral advertising; although we are not subject to the CCPA/CPRA, we follow these commitments as a matter of policy.
  • We do not share your information with advertisers for their own marketing or targeting; the limited advertising measurement we perform on our own ads is described in "How You Found Us."
  • We do not use your data to train foundational AI models
  • We do not use AI-generated profiles of you for purposes unrelated to providing the Service

Deleting Your Information

Put It In The IEP has no accounts. Your document and analysis are deleted automatically, as described above. The only personal information we keep is your email sign-up. To delete it, email us at the address in Contact Us and we will remove it. If you have questions about what is retained, contact us at michael@novaparentcollective.com.

AI Processing and Third-Party Services

4. Anthropic (AI Infrastructure)

Put It In The IEP uses Claude, an AI model made by Anthropic, to analyze your document and answer your follow-up questions. Anthropic processes this information on our behalf as a service provider. Under Anthropic's commercial terms, it does not use it to train its AI models. Anthropic may keep short-lived records of requests for safety and abuse monitoring.

Other Service Providers

We share information only with service providers that help us run Put It In The IEP:

  • Vercel: website hosting, temporary document storage, and page-view counts
  • Anthropic: AI analysis of your document and follow-up questions
  • Neon: storage for abuse-prevention counters
  • Airtable: storage for email sign-ups
  • Stripe: payment processing

Each provider receives only what it needs for its part of the service.

How Long We Keep Information

  • Your document: deleted from temporary storage as soon as its text is read, and deleted from Anthropic when your analysis finishes.
  • Your analysis: kept only in your browser until you close the page. A field guide you download stays on your device.
  • Abuse-prevention counters: deleted within about a day.
  • Your email sign-up and how you found us: kept until you ask us to delete it.
  • Page-view counts and technical logs: kept by Vercel under its standard retention periods.
  • Payment records: kept by Stripe under its retention periods, and kept by us as business records for as long as tax and accounting rules require

To make a privacy request (access, correction, or deletion), email michael@novaparentcollective.com; for your security, we may require verification using only information from the specific table where your opt-in or request resides.

Security

We protect your information with safeguards that include private, access-controlled document storage, automatic document deletion, scrambled IP addresses, technical logs that leave out personal details, and encrypted connections. Sensitive Personal Information receives the highest level of protection we can provide. No system is completely secure. We encourage you to share only what is necessary.

Children's Privacy

Put It In The IEP, a product of Nova Parent Collective LLC, is for adults acting on behalf of children. The documents you upload are usually about a child, and we protect them as described in this policy. We do not knowingly collect personal information directly from children under 13. If you believe a child has directly provided personal information, contact us and we will delete it promptly.

Changes to This Policy

We update this Policy when our practices change or when law requires, and we may notify you by email if you have opted in to communications. We will update the version number and effective date. For significant changes that would materially affect your choices or our data sharing, we will provide additional notice where feasible. Continued use after changes are posted constitutes acceptance.
